Two surfaces, one fabric
A whiteboard for thinking in space and notes for thinking in sequence. They share the same collaboration engine, the same permissions, and the same exit into the ledger, so work moves between them without a copy and paste.

Import, export, and interop
Your diagrams already exist somewhere else. Bring them, and leave with them.

Diagram import and Visio export are best effort. Shapes, connectors, and colors carry across; app specific widgets and rich theming do not.
AI on the canvas
AI that builds and reads boards, inside the same gate as everything else. Anything an agent builds lands in Draft.

AI and exits
Eight AI actions that earn their place, and the ways off the page.
- Summarize the page into a short summary, key points, and action items
- Ask a question and get an answer drawn only from this page, including when the answer is not there
- Auto-title a page, auto-tag it, and extract the action items buried in the prose
- A per block toolbar that rewrites, expands, or translates a block or a selection
- Turn a meeting notes page into formal committee minutes, filed to that committee's register

Bound to the ledger, not to a screenshot
A shape on this canvas can be a real record. That is the difference between a diagram of your business and a view into it.
Decisions
Drop a decision onto the board and it stays current. Status, owner, linked evidence, and the recorded outcome render live from the ledger, not from a screenshot somebody pasted last quarter.
KPIs and metrics
Bind a shape to a KPI and the board reads the real number. When the metric moves, every board showing it moves with it.
Projects and model runs
Attach a project, a cost center, or a decision model. Open the record from the node without losing your place on the canvas.
Data and documents
Pull in a canonical dataset, a Google Sheet, a knowledge base document, or another board. Smart Containers keep grouped shapes in sync with their source.
Seven ways out of the canvas
Thinking is only worth capturing if it can leave the tool it was captured in. Each of these takes one click and keeps the source as provenance.
Select a cluster, get a decision
Marquee a group of stickies on the board and turn them into a real decision record. The board is kept as provenance, so the reasoning is never orphaned from the outcome.
Turn a note block into a record
Any text, heading, quote, callout, or to-do block converts in place. The record is created through the same path as the intake studio, a reference card drops into the page, and the source to-do checks itself off.
Turn a whole board into a brief
Ask for a decision brief and the AI reads the board, its bound records, and its structure, then drafts the framing. You edit rather than start from a blank page.
Publish into the knowledge base
Export a page to PDF or Word and send it to the Knowledge Base as a governed document, where retention, access, and search treat it like every other record.
Run the model from the node
A node bound to a decision model runs from the board itself. It goes through the normal execution path and comes back with a real run, so the number on the canvas has a run id behind it. Select several and compare the options side by side.
Turn a note into a project
A page of scoping becomes a real project with an owner and a cost center, and the page keeps a reference card pointing at it. The plan and the funded work stop being two different documents.
Send it to a committee
Forward a page to a committee you belong to, or have the AI turn a meeting notes page into formal minutes filed to that committee's document register. The note stays the source, the minutes become the record.
Your AI should not quote a brainstorm as policy
Boards carry a lifecycle. Only a board that has reached Official is referenceable by the assistant, the knowledge grounding path, and the MCP tools. Everything else is invisible to AI, and the gate fails closed.

Private thinking. Owned by whoever started it, invisible to the assistant.
In Review
Circulated for comment, optionally routed through a real approval workflow before it can advance.
Official
Approved. The board becomes a formalized process document, indexed and quotable by the AI.
Archived
Retired. The assistant stops citing it the moment it is archived.
The gate is a positive test for Official, not a list of things to exclude, so an unknown, missing, or archived status fails closed. Promotion can require a real approval, an Official board is watched for drift against the records it is bound to, and anything an AI agent builds starts in Draft. No other whiteboard has an approval state that governs what the AI is allowed to read.
Governed by default
Right now your strategy is on a whiteboard in a tool your security team has never reviewed. Both surfaces inherit the platform's isolation, sharing, history, comments, retention, legal hold, and audit. Boards go one step further, because a board can become policy the AI is allowed to quote.
Tenant isolation, enforced at the row
Boards and notesEvery board and notebook is scoped by row level security, the same as every other record in the platform. Not a sharing setting somebody can misconfigure.
Explicit sharing and scoped links
Boards and notesPer board and per notebook grants, view or edit. A board's signed public link is a deliberate, revocable act, rate limited with an expiry and an access log. A note's share link never leaves your organization: it requires a session in the same tenant and expires in 30 days.
Version history and restore
Boards and notesSnapshots you can inspect and roll back to on both surfaces. Restoring a note page snapshots the current state first, so the restore is itself reversible.
Comments and @mentions
Boards and notesThreaded comments pinned to a shape or a block, with resolve and reopen. Both surfaces carry @mentions, and a mention raises a real notification rather than a highlight nobody sees.
Retention, legal hold, and eDiscovery
Boards and notesA retention window on both surfaces, with purge that is never automatic. Legal hold freezes a board and writes a locked snapshot; on notes it applies at page, section, or notebook scope, and eDiscovery enumerates by query and date range.
An audit trail and a seal chain
Boards and notesAppend only audit on both, exportable as JSON or CSV. Note pages add a hash linked seal chain, so a page that was altered after the fact cannot present itself as untouched.
Classification and PII scanning
Boards and notesBoard text is classified and a sensitive board is blocked from public publication, with watermarking on exports and read only views. Note content is scanned for PII, with optional PHI detection for regulated tenants.
A fail closed AI gate
BoardsUnapproved boards are never surfaced in AI answers. The test is a positive match on Official, so an unknown, missing, or archived status is treated as not referenceable. The failure mode is silence, not a leak.
